Who we are

This policy explains how we collect and use your personal information when you visit our website or stay in one of our homes. We keep it to what we need to look after your booking and your stay.

Madame Soussou is the guest booking name of Coastal Host Ltd, a company registered in England and Wales (company number 12813261). Coastal Host Ltd is the data controller for the information described here.

What we collect and why

We only collect what we need to take your booking, look after you during your stay and meet our legal duties.

  • Name, email, phone number and address: to take and manage your booking, and contact you about your stay (contract).
  • Number of guests, dates, any pets and special requests (for example a cot or a celebration): to prepare the home and arrange extras (contract).
  • Payment details: to take payment and place the card hold. Card details are handled by our payment provider; we don't store full card numbers (contract).
  • Photo ID or identity details of the lead guest (if requested): to protect our homes and owners and help prevent fraud (legitimate interests).
  • Messages and reviews: to answer your questions and improve our service (legitimate interests).
  • Website usage data and cookies: to make our website work and understand how it's used (consent for non-essential cookies).

We never sell your information or use it for marketing without your consent. If you sign up for news or offers, you can unsubscribe at any time.

Who we share it with, and for how long

We share your information only with people who need it to make your stay happen:

  • The owner of the home you're staying in, limited to what they need (for example, dates and number of guests)
  • Our booking system (Lodgify), which stores booking details and runs our website
  • Our payment provider (Stripe), which processes payments and card holds securely
  • Booking sites such as Airbnb and Booking.com, if you booked through them; their own privacy policies also apply
  • Our cleaning and maintenance teams, only where needed (for example, arrival times)
  • Authorities, if the law requires it

Some of these providers may store data outside the UK. Where they do, they use legal safeguards approved under UK data protection law.

How long we keep it. We keep booking and payment records for 6 years, as required for tax and accounting. Copies of ID are deleted within 30 days after your stay. Messages and other details are kept no longer than needed.

Our website uses essential cookies so it works properly, and may use others to understand how visitors use it. You can choose which non-essential cookies to accept when you first visit. See our Cookie Policy for details.

Your rights

You can ask us to see the information we hold about you, correct anything that's wrong, delete your information where we don't need to keep it by law, stop or limit how we use it or object to it, or send it to you or another organisation in a usable format. Just email us and we'll reply within one month.

Complaints

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
